Orionis Shipping (“Orionis”, the “Company” or “we”) acts as the data controller under Turkish Personal Data Protection Law No. 6698 (“KVKK”). This notice explains for what purposes and on what legal grounds the personal data you share with us through the contact and careers forms on our website is processed, and what rights you have in this regard.

2. Personal Data We Process

Through the forms on our website, we may process your personal data in the following categories:

  • Identity data: first name, last name.
  • Contact data: email address, phone number, the company/organisation you represent.
  • Request and message content: the service you are interested in and the message text you choose to send us through the contact form.
  • Job application data: education, work experience, position preference and similar data contained in the CV you share through the careers form.
  • Transaction security data: the IP address and technical data processed within the scope of spam protection (Cloudflare Turnstile) to ensure security and prevent misuse of form submissions.

Please do not share special categories of personal data (e.g. health, religion, membership information) that are not requested when filling in the forms.

3. Purposes of Processing

  • Responding to your contact requests and to your questions and quotation requests,
  • Planning and carrying out processes related to our services,
  • Assessing job and internship applications and carrying out recruitment processes,
  • Following up and resolving your requests, suggestions and complaints,
  • Ensuring the security of the website and forms and preventing unwanted (spam) submissions,
  • Fulfilling our obligations arising from applicable legislation.

4. Legal Grounds for Processing

Your personal data is processed on the following legal grounds set out in Article 5 of the KVKK:

  • Your explicit consent (Art. 5/1): given at the time of form submission, in particular for the processing of your data through service providers located abroad.
  • Establishment or performance of a contract (Art. 5/2-c): for carrying out processes related to the service you request.
  • Legitimate interest (Art. 5/2-f): for recruitment assessments and for ensuring the security of the website and forms.
  • Compliance with a legal obligation (Art. 5/2-ç): for our obligations under applicable legislation.

5. Method of Collection

Your personal data is collected electronically, by fully or partially automated means, when you fill in and submit the contact and careers forms on our website.

6. Transfer of Personal Data and Transfers Abroad

Our website and form infrastructure run on the servers and infrastructure of the service providers below. As these providers’ servers may be located abroad, the personal data you send through the forms may be transferred abroad on the basis of your explicit consent under Article 9 of the KVKK:

  • Cloudflare, Inc. — website hosting, form processing and spam protection (Turnstile).
  • Resend (Plus Five Five, Inc.) — delivering form notifications to the Company by email.

These transfers are limited to the purposes stated above, and the necessary technical and administrative measures are taken to ensure the security of your data. Your personal data is not shared with third parties beyond these purposes or used for marketing without your explicit consent.

7. Retention Period

  • Contact form data: retained for the resolution of your request and a reasonable follow-up period; once this purpose ceases, it is deleted, destroyed or anonymised.
  • Careers form / CV data: retained for 1 year for the assessment of your application and suitable future positions, and destroyed at the end of this period.

Longer retention periods required by legislation are reserved.

8. Your Rights as a Data Subject

Under Article 11 of the KVKK, by applying to the data controller you have the right to:

  • Learn whether your personal data is processed,
  • Request information if it has been processed,
  • Learn the purpose of processing and whether it is used accordingly,
  • Know the third parties to whom it is transferred at home or abroad,
  • Request correction if it is incomplete or inaccurate,
  • Request deletion or destruction under the conditions set out in the KVKK,
  • Request that correction, deletion and destruction be notified to third parties it was transferred to,
  • Object to a result against you arising from analysis solely by automated systems,
  • Request compensation if you suffer damage due to unlawful processing.

9. How to Apply

You may submit requests regarding the above rights, together with information verifying your identity, by email to info@orionisshipping.com or in writing to ADALET MAH. MANAS BLV. FOLKART TOWERS NO: 39 İÇ KAPI NO: 3201 BAYRAKLI/ İZMİR. Your applications are concluded within 30 days at the latest, in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller.
